Every team closes the month differently. We set it up to match.

A team spending in the field and a company with an outside accountant do not have the same problem. Below is the work RevoSpend takes on in different teams, and how we set it up with you.

RevoSpend makes the most difference in teams like these.

What decides it is not company size but how spend flows. If one of these sounds familiar, you are in the right place.

  • Teams closing the month by hand

Teams still collecting receipts over chat and closing the month in a spreadsheet. A receipt is read the moment it is photographed, not searched for at close.

  • Working with an outside accountant

When bookkeeping sits outside the company, the quality of the export is time. Records go out with account codes and tax split by rate, and you can bring your accountant in too.

  • Running more than one company

In a group of companies, each one keeps its own records, approval path and categories. You switch between them with the same account.

How RevoSpend works inside a team.

Three familiar situations, and the work RevoSpend takes on in each.

Field teams

When month end is a hunt for missing receipts

Dozens of people spending in the field, and receipts chased one by one at month end. In RevoSpend a missing receipt stays visible all month, so only the exceptions are left for close.

  • Amount, date, merchant, tax ID and tax rates are read the moment the receipt is photographed
  • The owner of an expense without a receipt is reminded automatically
  • The Excel file for your ledger is generated straight from the record at close
Teams that travel

When the travel policy lives in a PDF

Everyone knows the rule, nobody opens the file, and an overspend is only noticed at approval. In RevoSpend the rule applies the moment an expense is entered.

  • An expense over the limit asks for a reason before it is submitted
  • Who approves is decided by amount, category and department
  • The same receipt entered twice is flagged before approval
Office and operations

When one receipt holds company and personal spend

Office supplies and a personal purchase on the same grocery receipt. RevoSpend splits the receipt by its line items, and each part is recorded with its own category.

  • The non-reimbursable part stays out of reimbursement
  • Each tax rate carries into its part on its own line
  • Splitting does not get under an approval threshold: the path looks at the total

Setup, step by step.

  1. 01

    Choose how you approve

Does every expense pass one person, or several stages depending on the amount? You choose how your company works in the first step.

  2. 02

    Add your team

Paste the list or bring it in from a CSV or XLSX file; department and manager go in the same table. Invitations go out when setup is done.

  3. 03

    Build the approval path

Define who approves what by amount, category and department. Before you publish, try a sample amount and see whose approval the expense lands with.

We do the setup together with you.

On the first call we listen to how spend flows in your company today: who spends, who approves, how records reach your ledger. We set things up together around that picture, and afterwards we answer your questions the same day.

Yes. A change is published as a new version; expenses approved until then are kept with the rule they were approved under.
