Export expenses to Excel or CSV
Export expenses to Excel or CSV with the filters you set — one row per expense, or accounting lines with account codes for your accountant.
Export gives you your expense data in a file, ready for a spreadsheet or your accountant. It follows the filters on the list, so you download exactly what you’re looking at.
Before you start
Owners, admins and people with the Accounting duty can export. The file contains the expenses you can see.
Filter the list
Go to Expenses → All expenses and set the period, people, categories and status you need.
Export
Click Export and choose a format.
Formats
| Format | What’s in it |
|---|---|
| Excel · .xlsx | Two sheets: expenses, and accounting lines |
| CSV · one row per expense | One row for each expense |
| CSV · accounting lines | One row for each part of an expense at each tax rate, with the account code |
Expense rows include the date, time, merchant, tax number, receipt number, description, owner, category, who paid, approval status, gross, tax and net amounts, currency, business and personal parts, and a link to the receipt. Accounting lines add the account code, tax rate and deductible tax share.
Amounts in Excel are real numbers, so columns add up right away. You can export up to 10,000 expenses in one file — narrow the period for more.
Export or transfer?
Export is a copy of your data, as often as you like. To book expenses into your accounting system exactly once, use Transfer instead. See Send expenses to your accounting program.
Your data is always yours
Export stays available whatever happens to your subscription — your company’s data is never held back.
