Possible duplicate receipts
RevoSpend flags a duplicate receipt or duplicate expense submitted twice. You can still save it — your approver reviews both records first.
The same receipt submitted twice is one of the most common expense mistakes. RevoSpend checks every receipt against your company’s other expenses and flags a possible duplicate expense before it becomes a problem — without blocking genuine expenses.
How RevoSpend spots a duplicate
| Match | What’s the same |
|---|---|
| Same file | The exact same file was uploaded before |
| Same receipt | Same merchant tax number and receipt number |
| Same content | Same merchant tax number, day, time and amount |
Two receipts with different receipt numbers are always treated as two separate receipts. Rejected expenses aren’t counted.
When you’re submitting
You’ll see This receipt is on another record too. You can still save and submit — your approver reviews both records. If the other record belongs to a colleague, you’ll only see that it exists, not its details.
If you’re sure both are genuine — two coffees paid separately, for example — choose Both are valid and explain why. It helps your approver decide faster.
When you’re approving
Expenses with a possible duplicate appear under Needs review and can’t be approved in bulk.
Compare the two records
Open the expense and look at both receipts side by side.
Decide
If both are genuine, choose Both are valid, add a reason and approve. If it really is a duplicate, Reject it.
An expense with a possible duplicate is never approved automatically. If your approval route has no approval step for it, a review step is added for the fallback approver — or the company owner.
