Manage expense categories
Manage expense categories: rename or add categories, set GL codes from your chart of accounts and deductible tax, and turn off what you don’t use.
Expense categories tell your finance team what money was spent on — and decide which account in your chart of accounts an expense lands in, through its GL code. Your company starts with a ready-made list, from Airfare and Lodging to Software and subscriptions, which you can shape to fit the way you work.
Before you start
Owners, admins and people with the Finance or Accounting duty can manage categories.
Open Categories
Go to Settings → Categories (under Spend).
Add or edit
Click Add category, or open a category’s menu and choose Edit. Each category has a name, an account code and a deductible tax share.
Turn off what you don’t use
Choose Turn off from the category’s menu. Use Turn back on whenever you need it again.
Account codes
The account code is the account in your chart of accounts where expenses in this category are booked. It’s written on every accounting line you transfer or export. If you connect Odoo, you can pick the account from Odoo’s own chart of accounts instead.
Deductible tax
Set how much of the tax on this category can be deducted — 100% for most business costs, less for costs where the deduction is limited. The share applies to expenses recorded from then on.
Categories are never deleted, so past expenses always keep the category they were recorded with. A turned-off category can’t be picked on new expenses but stays on existing ones.
