Map categories, taxes and people to Odoo

Map categories to your Odoo chart of accounts, tax mapping for every rate, and people to contacts — and choose vendor bill or journal entry booking.

For Owners, Admins, Accounting, and FinanceAbout 8 minutesReviewed September 29, 2026

Mapping tells RevoSpend where each expense belongs in Odoo: categories to your chart of accounts, tax mapping for each rate, and people to contacts. You do it once after connecting; RevoSpend suggests matches and you confirm them.

Before you start

  • Odoo is connected and a company is chosen. See Connect Odoo.
  • Mapping is done by people who can manage categories. The booking settings are set by owners and admins.

Lists from Odoo

RevoSpend reads Odoo’s Chart of accounts, Taxes, Journals and Contacts. If you’ve changed something in Odoo, click Refresh lists.

  1. Open the mapping

Go to Settings → Integrations and open Odoo, or click Go to mapping right after connecting.

  2. Match categories to accounts

On Categories, choose the Odoo account for each category. The account code is saved on the category, so file exports use the same code.

  3. Match tax rates

On Tax rates, choose the Odoo tax for each rate.

  4. Match people to contacts

On People, choose each employee’s contact in Odoo. It’s used when an employee paid and is owed the money.

  5. Accept the suggestions

RevoSpend proposes matches. Click Accept on each one, or accept all confident suggestions at once.

How expenses are booked

Who paid decides the document RevoSpend creates in Odoo:

Paid by What’s created in Odoo
Employee A vendor bill on the employee’s contact — the company owes them the money. The merchant goes in the line description.
Company A journal entry from your payment account, with the merchant as the counterparty.

For company-paid expenses, RevoSpend finds the merchant’s contact in this order: your own merchant rules, then the tax number, then the name. When no contact is found, you choose whether to Use the default contact or Create a new contact with the name and tax number from the receipt.

For an employee without a contact, choose Create a contact in the employee’s name or Use a general employee contact.

Setting Used for
Purchase journal Vendor bills for employee-paid expenses
Miscellaneous journal Journal entries for company-paid expenses
Payment account The account company-paid expenses are paid from
Owed-to-employee account Optional: a payable account for amounts owed to employees

Tax is written exactly as printed on the receipt; Odoo doesn’t recalculate it. Changes to mapping and settings apply to transfers from then on.

Troubleshooting

An expense shows Missing account code. Its category isn’t mapped yet. Map the category and the expense is ready to transfer.

Employee-paid expenses are held back. The employee has no Odoo contact. Match them on People, or choose one of the options for employees without a contact.
